Pre-Tournament

Registration / Eligibility

  • Verify NCR Status: Ensure all players and coaches are registered and eligible with NCR through the sport 80 platform.
  • Submit PEV: Email your Player Eligibility Verification form to eligibility@ncr.rugby by April 1 (or within one week of qualification). Watch this help video for guidance. for guidance. *Updated PEV forms must be submitted in both the Fall and Spring seasons. We will not accept a PEV from the Fall season.
  • Verify Player Profiles: Ensure players review their broadcast information in Sport 80. This information will be publicly displayed on our NCR app.
  • Jersey Numbers: A link to submit numbers will be sent on Selection Saturday and must be submitted via the unique roster link by April 20. Numbers must remain consistent for each player throughout the tournament.

Travel and Logistics

  • Book tournament hotel: The CRC is a “Stay-and-Play” event and teams must use tournament hotel blocks and book through NCR housing partner HBC. Book within one week of qualification to secure your preferred rate.
  • The deadline for booking hotels is April 16.
    • An opt-out fee will be applied to teams staying off-site or booking after the deadline.
    • If you would like to stay at a hotel not on this list, or have any questions regarding booking and travel insurance please call HBC Event Services at (505) 346-0522 and/or support@hbceventservices.com.
  • Arrange Transportation: Book air travel and local transport. Contact PRS Travel (NCR’s official agency) for assistance if needed.
  • Credentials: Submit forms for both Media and Medical credentials as required.
    • Please submit a request by April 21.

Arrival Checklist

Training & Check-In Information

  • Training Registration: After completing all necessary pre-arrival requirements, your team contact will receive a link from Christine Varga to select a training and check-in time.
  • Training Session: Each team is guaranteed one one-hour training session on half of a field.
  • Missing Registration Email: If your team has completed all pre-arrival requirements and has not received an email within 48 hours, contact info@ncr.rugby.
  • Training Location: Maryland SoccerPlex , Fields 18–20 (turf).
    • Men’s Training: Thursday, April 23, from 8:00 AM–5:00 PM.
    • Women’s Training: Friday, April 24, from 8:00 AM–5:00 PM.
  • Check-In Location:
    • Men’s and women’s check-in will take place at the large white tent in front of the Will Call booth near the main entrance of the complex.
    • After completing check-in, teams will receive their credentials and may enter through the Team Entrance to set up inside the Player Village.
    • Follow the event map to the Player Village entrance located on the left side of the Field House.
  • Check-In Time: Teams must check in 25–30 minutes before their allotted training session . For example, a team with a 9:00–10:00 AM training session should check in at 8:30 AM.
    • Teams will receive their finalized check-in time within five days of the event.
  • Thursday Check-In Parking: Parking will be available near the facility entrance and the white check-in tent.
  • Friday Check-In Parking: Designated parking spaces will be marked near the Field House lot.
    • These spaces are reserved for teams actively completing check-in and must be cleared immediately afterward.
    • Do not park in the designated check-in spaces unless your team is checking in at that time.
  • Local Teams: If your team is local and will not attend a training session, email info@ncr.rugby to receive a check-in time.
    • Local teams may request a virtual check-in within one week of the event by emailing info@ncr.rugby .
    • Coaches completing a virtual check-in must still visit the check-in tent to pick up their team credentials before entering the Player Village.
  • Items Provided During Check-In:
    • Team credentials.
    • Printed match rosters for the entire weekend, including one roster for each match.
      • If a roster update is required during the weekend, email info@ncr.rugby.
    • Pre-ordered T-shirts, when applicable.
  • Credential Limits: Teams are eligible to receive the following credentials:
    • Rostered Players: 15 maximum.
    • Team Staff: 3 maximum.
    • Medical Staff: 1 maximum. This credential requires pre-approval and a letter from your school.
    • Media: 1 maximum. This credential requires pre-approval. Submit requests to info@ncr.rugby.
  • Credential Requirements: Credentials must be worn at all times. Individuals without credentials will not be permitted to enter player zones or spectate inside the stadium.
  • NCR Membership Verification: Sport80 NCR Membership E-Cards are required during check-in.

Questions & Support

Match Day information

Stadium Entry

  • Team and Staff Entry: Credentialed players and team staff may enter the stadium through any general admission gate.
  • Team Parking and Team Village Entry: Teams are strongly encouraged to park in the team parking lot behind the Field House, using the driveway on the left side of the building, and enter through the Team Village.
  • Vehicle Access: Only credentialed team staff should be inside team vehicles, as credentials are required to access the team parking lot.
  • Stadium Access: Players and team staff will have access to all general admission areas inside the stadium, including the East stands and Spirit Hill.

Pre-Match Check-In

  • Roster Submission: Teams must check in and submit their match rosters to their No. 4 table by kickoff two games before their scheduled match.
  • Stadium Matches: Teams playing inside the stadium will submit their rosters at the entry tunnel on the north end of the stadium.
  • Early Matches: Teams playing in one of the first two matches of the day must check in at the No. 4 table no later than 40 minutes before their scheduled kickoff time.

Pre-Match Flow

  • Coin Toss Outside the Stadium: The coin toss will take place at the No. 4 table during halftime of the game immediately before your match. Teams should be staged and ready to take the field at this time.
  • Coin Toss Inside the Stadium: The coin toss will take place at the entry tunnel on the north end of the stadium during halftime of the game immediately before your match.
  • Fields 9, 11 and 12: Teams playing on Fields 9, 11—the stadium—and 12 will warm up on Field 8.
  • All Other Fields: Teams must warm up inside their try zones.
  • Warm-Up Equipment: The use of cones, pads or any equipment beyond rugby balls is prohibited inside the try zones.
  • Warm-Up Deadline: Warm-ups must conclude by halftime of the game immediately before your match, as teams are due for the coin toss and staging at that time.
  • Timing: Extended warm-up times and tardiness to the coin toss will not be tolerated.

Taking the Field

  • Broadcast Clearance: For in-stadium matches, the production crew will notify the Red Hat when the broadcast has returned from commercial break. This should occur no later than two minutes before the scheduled match.
  • Team Lineup: The Assistant Referees will line up both teams at the Dead Ball Line four minutes before the scheduled match. The referee will stand in front of both teams.
  • Field Entry: The Red Hat, located beside the No. 4, will advise the referee team when the players may enter the field.
  • Referee Instructions: The referee will notify both teams when they may enter. The referee and Assistant Referees will run onto the field immediately after the teams have entered.
  • Home and Away Benches: Home and Away team designations are clearly labeled on the schedule inside the NCR app. Signs marking the Home and Away benches will also be displayed on every field.
  • Prepare Before Arrival: Download the NCR app and confirm your designation before the match so your team reports to the correct bench.

Team Village

  • Designated Team Area: The Team Village is the designated, roped-off rest area reserved for team tents. It is located northwest of the stadium, overlooking the Team Drop-Off and Parking Lot and the outside fields.
  • Access: Only credentialed players, coaches and staff are permitted inside the Team Village.
  • Personal Belongings: The Team Village is not a secured space. Players and team staff leave personal items there at their own risk.
  • Team Tents: Teams may bring their own tents, as on-site tent rentals are not available. The maximum permitted tent size is 10×10.
  • Overnight Storage: Tents may be left overnight at the team’s own risk, but all contents must be packed away or discarded at the end of each day.
  • Food and Performance Drinks: Teams may bring performance drinks and food such as bananas, oranges, bars and Gatorade, but these items are restricted to the Team Village.
  • Cleanup: Teams are responsible for cleaning their areas and keeping them tidy at all times.
  • Team Home Base: The Team Village is the only location at the facility that may be used as a team home base for tents, gear and related team equipment.
